The Weeden Foundation, an environmental philanthropy located in New York City, is looking for an Administrative/Research Assistant (ARA). The ARA is the primary support person for the Executive Director and is responsible for office management, grant-related documentation, and some program-related research.
The Weeden Foundation's mission is the conservation of biological diversity (please visit our website at http://www.weedenfdn.org). It makes approximately $2 million in grant awards annually to non-profit environmental and population organizations located in the United States, Latin America, and Asia. The Foundation has two full time staff, the ARA and an Executive Director, and occasionally uses part-time consultants.

Responsibilities:
1. Administer and facilitate grantmaking process from proposal receipt to grant disbursement including: (i) initial screening of proposals for compliance with funding guidelines; (ii) executing variety of correspondence with organizations requesting funding, especially requests for additional information; (iii) entering detailed information into grants database; (iv) creating board meeting dockets including project descriptions in grants database; (v) sitting in on preliminary docket reviews with Executive Director and President; (vi) writing text for letters conveying meeting results; (vii) recording meeting results in grants management database.

2. Oversee office accounts and ordering of supplies; serve as liaison with office building management; maintain complex Foundation files (proposals, organizations, financial, general).

3. Respond to phone and written inquiries concerning Foundation's funding programs & procedures and provide specific information in response to questions.

4. Interact with Weeden family members and organize board meeting logistics for the Foundation's all family Board of Directors.

5. Maintain website that serves as the Foundation's Annual Report. Write grant descriptions after each Board meeting to be uploaded to the site.

6. Provide financial reporting information to Foundation bookkeeper, assist in the creation of monthly reports for trustees, and perform occasional administrative/clerical duties for Foundation's President.

7. Conduct periodic research and analysis projects, as needed, in a variety of areas.

Minimum Qualifications:
College degree and strong interest in/knowledge of environmental issues, particularly relating to conservation of biological diversity. Excellent interpersonal and oral/written communication skills. Good organizational skills and an ability to juggle a variety of tasks as befits a small office environment. Strong PC computer skills, especially with WORDâ„¢ and EXCELâ„¢, familiarity with QUICKENâ„¢ , DREAMWEAVERâ„¢, and a desire/ability to learn complex grants management software (MicroEdge GIFTSâ„¢). Easygoing manner, energetic, good sense of humor, and a proven ability to work well independently and with senior staff/Board.

Starting Date: mid-July, or sooner
Salary: $30,000 to $35,000 DOE
